Requirements and the six steps to an Indonesian certificate

The full sequence from device classification to print-ready QR code label, the document set that has to be in order before filing, and the three application types that are easy to confuse.

In short. Six steps: classify, prepare documents, test or evaluate, file, pay the official fee, collect the certificate and apply the label. Incomplete documents are the most common cause of rejection, so most of the real work happens before anything is filed.

STEP 01
Device classification

Establishes whether certification is required and which technical standards the testing will be measured against.

STEP 02
Document preparation

Technical specification, product photographs, importer or distributor appointment letter, DJKI trademark evidence, and Declaration of Conformity.

STEP 03
Testing or evaluation

Either sample testing at an accredited Indonesian laboratory, or evaluation of test reports from a laboratory recognised by SDPPI or covered by an MRA.

STEP 04
Filing

Submitted through OSS and the SDPPI e-Sertifikasi system, then passed to technical evaluation.

STEP 05
Official fee payment

The PNBP invoice is issued and must be paid to the state before the process continues. It has a deadline, and missing it ends the application.

STEP 06
Certificate and label

The certificate is downloaded, and the label, QR code and warning marks are prepared for application to the device.

The document set — and how each one usually goes wrong.

Incomplete or inconsistent documents are the single most common cause of rejection. Each of these is checked before filing rather than after.

Technical specification

Full datasheet including frequency bands, transmit power and every radio module used.

Common error

The specification omits a radio module that is actually active on the device.

Product photographs

Images showing brand and model clearly, including labels and ports.

Common error

Blurred images, or brand and model not matching the documents.

Appointment letter

Evidence of authority to import and trade the device in Indonesia.

Common error

The entity named in the letter differs from the applicant registered in OSS.

Trademark evidence (DJKI)

Certificate or registration evidence from the Directorate General of Intellectual Property.

Common error

The mark is unregistered, or still pending with no filing evidence supplied.

Declaration of Conformity

The manufacturer’s statement of conformity against the applicable technical standards.

Common error

The declaration does not cite the standards that are actually relevant to the device.

Three application types.

They are not interchangeable, and choosing the wrong one restarts the clock.

TYPE A
New

A device that has not been certified before. It runs the full sequence: classification, testing or document evaluation, and issuance.

TYPE B
Data amendment

For changes to the certificate holder’s details or other administrative information, where the device’s technical specification is unchanged.

TYPE C
Replacement

Reissue of a certificate, for instance where the original has been lost or damaged, under the applicable provisions.

The label obligation is not a formality.

This is the step foreign applicants most often treat as optional, and it is the one with the sharpest consequence.

Every certified device must carry the label, the QR code and the prescribed warning marks. We prepare print-ready artwork so that application can happen the moment the certificate is issued, rather than becoming the thing that delays your shipment.

Where the label, QR code and warning marks are not applied to the device, the certificate can be revoked after written warnings have been repeatedly ignored. Everything spent on getting the certificate is spent again.

Questions about the process

Which step takes the longest?+

Almost always laboratory scheduling on the sample testing route, which sits outside any deadline the regulation sets. The regulated steps are comparatively fast; the queue is not. The timeline page sets out the three separate clocks in detail.

Can documents be submitted in English?+

The technical documentation from the manufacturer is normally in English and that is expected. The Indonesian-side documents — the appointment letter, the OSS registration, trademark evidence — belong to the Indonesian entity and follow Indonesian requirements.

Do we need to ship a sample unit?+

Only on the sample testing route. If your existing RF, EMC and safety reports come from a laboratory recognised by SDPPI or covered by an MRA, the document evaluation route may apply and no sample is shipped.

What happens if we miss the PNBP payment deadline?+

The application does not survive it. This is the most avoidable way to lose a filing, which is why we track the invoice rather than leaving it in an inbox.

Does a firmware change require a new application?+

It depends on whether the change touches the radio parameters the certificate was issued against. A change that does not affect certified radio behaviour is treated differently from one that does — send us the change description and we will tell you which it is.
